This Privacy Policy explains how Pocket Accountant collects, uses, stores, shares, and protects information when you use the Pocket Accountant website, web application, mobile applications, and related products and services collectively referred to as the "Service."

By using the Service, you acknowledge the practices described in this Privacy Policy.

Bank and Financial Account Information

If you choose to connect a financial institution, we may receive information made available through an authorized bank-connection provider such as Plaid, including:

Account names and types
Account balances
Transaction history
Transaction descriptions
Merchant information
Account identifiers or masked account information
Other financial information authorized through the connection

Pocket Accountant does not ask you to manually provide your online banking username or password to us when using an authorized bank-connection provider.

Payment and Subscription Information

When you purchase or manage a Pocket Accountant subscription, payment information may be processed by payment processors or app-store providers.

We may receive information such as:

Subscription plan
Payment status
Renewal status
Cancellation status
Transaction identifiers
Billing-related metadata

Payment providers and app stores may separately collect information according to their own privacy policies.

Receipts and Uploaded Files

If you use receipt scanning, document uploads, or similar features, we may process receipt images, invoice images, documents, extracted text, merchant information, transaction amounts, dates, categories, and other information contained in uploaded material.

AI Feature Information

When you use Pocket Accountant's AI-powered features, we may process questions or instructions you enter, transaction information, accounting information, receipt information, business information, relevant contextual information, and AI-generated responses.

Device, Usage, and Diagnostic Information

We may automatically collect information necessary to operate, secure, and troubleshoot the Service, such as device type, browser type, operating system, IP address, session information, login activity, error logs, security events, application performance information, and general usage and diagnostic information.

Communications

If you contact us, we may collect your email address, support requests, messages, feedback, correspondence, and other information you voluntarily provide.

3. Information About Other People and Businesses

Pocket Accountant allows users to enter information concerning customers, vendors, employees, contractors, clients, and other individuals or businesses.

For example, an invoice may contain a customer's name, address, email address, or other business information.

If you provide information about another person or organization, you are responsible for ensuring that you have the authority, consent, or other lawful basis necessary to provide and use that information through Pocket Accountant.

We process this information as necessary to provide the features requested by the Pocket Accountant account holder.

We do not obtain access to a financial institution unless you authorize the applicable connection.

6. Legal Bases for Processing

Where privacy laws such as the European Union General Data Protection Regulation or United Kingdom GDPR apply, we may process personal information based on one or more of the following legal bases:

Performance of a Contract

We process information when necessary to provide Pocket Accountant and the features you request.

Legitimate Interests

We may process information when reasonably necessary for legitimate business purposes such as securing the Service, preventing fraud, maintaining system reliability, providing customer support, improving our products, and protecting our legal rights.

Legal Obligations

We may process information when required to comply with applicable laws, tax requirements, accounting obligations, regulatory requirements, court orders, or lawful government requests.

Consent

Where required, we may process information based on your consent. You may withdraw consent where applicable, although withdrawing consent does not affect processing that occurred before withdrawal.

7. Bank Connections and Plaid

Pocket Accountant may use Plaid or another authorized financial data provider to connect your Pocket Accountant account with a financial institution.

When you authorize a connection, the provider may facilitate access to information such as account information, balances, transaction history, transaction descriptions, merchant information, and financial-account metadata.

Your use of Plaid or another financial-data provider may also be governed by that provider's privacy policy and terms. We encourage you to review those policies before connecting an account.

Disconnecting a Bank Account

You may disconnect a connected financial account where that functionality is available.

Disconnecting an account generally stops future synchronization and may cause stored access credentials or tokens associated with that connection to be removed or invalidated. However, accounting records and transactions previously imported into Pocket Accountant may remain in your account until you delete those records or your Pocket Accountant account is deleted, subject to applicable legal and retention requirements.

8. AI-Powered Features

Pocket Accountant may provide artificial-intelligence features designed to assist with activities such as transaction categorization, accounting questions, receipt analysis, financial-data interpretation, bookkeeping assistance, and other supported Pocket Accountant functions.

Information submitted to an AI-powered feature may be transmitted to a third-party AI service provider when necessary to produce the requested response.

This information may include financial or business information relevant to your request.

Pocket Accountant does not use your business or financial information to train its own foundation models. Third-party AI service providers process information according to the applicable agreements, configurations, and terms governing our use of their services.

You should avoid submitting information to an AI feature that is unnecessary for the task you are requesting.

AI Accuracy

AI-generated information may be inaccurate, incomplete, misinterpret information, produce incorrect accounting classifications, or produce incorrect calculations or explanations.

AI-generated output should be reviewed before relying on it. Pocket Accountant's AI features are tools designed to assist users and are not a substitute for professional accounting, tax, legal, investment, or financial advice.

You remain responsible for reviewing and approving accounting records, transactions, classifications, reports, tax information, and other decisions made using the Service.

9. How We Share Information

We may disclose information to third parties when necessary to operate Pocket Accountant or provide features you request.

These third parties may include:

Hosting providers
Cloud infrastructure providers
Database and storage providers
Email and communications providers
Payment processors
App-store billing providers
Bank-connection providers
AI service providers
Authentication providers
Analytics providers
Error-monitoring and diagnostic providers
Security providers

At Your Direction or With Your Consent

We may share information when you direct us to do so, such as when you send an invoice, export information, connect a service, or authorize another party to receive information.

Legal and Safety Requirements

We may disclose information when we reasonably believe disclosure is necessary to comply with law, respond to lawful legal process, detect or prevent fraud, investigate security incidents, or protect the rights, property, or safety of Pocket Accountant, our users, or others.

Business Transfers

Information may be transferred as part of a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar corporate transaction. Any successor organization may continue processing information subject to applicable law.

10. Sale and Sharing of Personal Information

Pocket Accountant does not sell your personal information .

Pocket Accountant also does not share personal information for cross-context behavioral advertising as that term is defined by the California Consumer Privacy Act, unless this Privacy Policy is updated to disclose otherwise.

We do not provide your accounting or financial information to third parties for them to independently market unrelated products or services to you.

11. Cookies, Local Storage, and Device Technologies

These technologies may be used to keep you signed in, maintain secure sessions, remember preferences, protect accounts, prevent fraud, measure application performance, diagnose technical problems, and maintain application functionality.

Disabling certain browser or device technologies may prevent portions of Pocket Accountant from functioning properly.

12. Communications

We may send communications related to your use of Pocket Accountant, including:

Email verification messages
Password-reset messages
Security notifications
Authentication messages
Subscription and billing notices
Account notices
Product or service notices
Support responses
Invoice or report emails requested through the Service
Legal or policy notices

These communications may be necessary to provide the Service.

If we send optional marketing communications, you may unsubscribe using the instructions included with those communications. Unsubscribing from marketing communications does not prevent us from sending necessary account, billing, security, transactional, or legal communications.

13. Data Retention

Pocket Accountant keeps your active account and saved books while you use the service. A confirmed account-deletion request starts one fixed 30-day (720-hour) reopening window. The exact deadline appears in your account and does not move when you repeat the request.

After the deadline, the scheduled deletion service permanently removes your account, accounting records, settings, authentication records, bank-feed data, upload records and active upload files. Provider failures or incomplete cleanup are retried and referred to support; completion is confirmed only after the purge and required cleanup succeed.

This deployment declares a backup retention period of 7 days. Backups created before deletion expire under that configured retention schedule and are not used to reopen deleted accounts. A restored backup must have completed deletions reapplied before the app serves users.

A minimal deletion record contains keyed, pseudonymous identifiers and actual event times, without your raw user ID or financial records. An encrypted email address is kept temporarily to retry your completion notice; it is removed when the email provider accepts the message or after 30 days of unsuccessful delivery following completion. Minimal deletion evidence is retained for 365 days after completion or reopening.

Payment platforms and other service providers may retain records they are required to keep under their own policies or law. Pocket Accountant removes data through available provider APIs and tracks requests requiring provider support. Support records a keyed receipt when it verifies deletion or required retention. A minimal marketing-suppression record may remain with our email provider to prevent delivery without renewed consent. A support reference is available if a provider action or completion email needs attention.

14. Account Deletion

Export any invoices, transactions, reports, receipts and other records you need before requesting deletion. Completed deletion cannot be reversed.

Request account deletion

Sign in and open Settings → Delete Account → Delete my account. Type DELETE to confirm (capitalization does not matter), enter your current password if your account has one, and review the billing notice. You will receive an exact deletion deadline and support reference.

If you cannot sign in, email hello@pocketaccountant.app from the address associated with your account, with the subject Account Deletion Request. Support will verify ownership before recording the request. Do not send your password. The 30-day window begins when the verified request is recorded, not when the email was sent.

When you confirm deletion, we immediately queue and attempt to stop Stripe and Google Play renewal. Provider failures are retried; until cancellation is confirmed, charges may still occur. Deletion does not itself issue a refund. For refund questions, use the provider that billed you.

Apple controls cancellation of Apple subscriptions. Open Apple subscription management, cancel your subscription, and acknowledge that billing may continue until you cancel it. You can still request deletion after acknowledging this notice; we do not claim to cancel Apple billing for you.

15. Your Privacy Choices and Rights

Privacy rights vary based on where you live. Depending on applicable law, you may have the right to:

Request access to personal information we maintain about you

Object to certain processing
Restrict certain processing
Withdraw consent where processing is based on consent

We may need to verify your identity before completing a request. We will respond to valid privacy requests within the time required by applicable law.

We will not unlawfully discriminate against you because you exercised an applicable privacy right.

16. California and Other U.S. State Privacy Rights

Residents of California and certain other U.S. states may have additional rights under applicable state privacy laws.

Where those laws apply, these rights may include:

Pocket Accountant does not currently sell personal information or share it for cross-context behavioral advertising as described in Section 10.

Authorized Agents

Where permitted by applicable law, you may designate an authorized agent to submit a privacy request on your behalf. We may request information reasonably necessary to confirm the agent's authority and verify your identity.

17. European Economic Area, United Kingdom, and Similar Jurisdictions

If you are located in the European Economic Area, United Kingdom, Switzerland, or another jurisdiction providing similar privacy protections, you may have rights including access, correction, deletion, restriction of processing, data portability, objection to certain processing, and withdrawal of consent.

You may also have the right to submit a complaint to the data-protection authority responsible for your jurisdiction.

Your rights may be subject to exceptions provided by applicable law.

18. Security

Pocket Accountant uses administrative, technical, and organizational safeguards designed to protect information against unauthorized access, unauthorized disclosure, loss, misuse, improper alteration, and destruction.

These safeguards may include encryption of information in transit, authentication controls, account-security measures, access controls, monitoring, and other safeguards appropriate to the Service.

However, no website, application, transmission method, or electronic storage system can be guaranteed to be completely secure.

You are responsible for maintaining the confidentiality of your Pocket Accountant login credentials and for promptly notifying us if you believe your account has been compromised.

Security Incidents

If we become aware of a security incident involving personal information, we will investigate and provide notifications to affected users or regulatory authorities when required by applicable law.

19. International Data Processing

Pocket Accountant and its service providers may process information in the United States and other countries.

As a result, your information may be processed in a country with privacy laws that differ from the laws where you live.

Where applicable law requires safeguards for international transfers of personal information, we will use appropriate transfer mechanisms or other legally recognized safeguards.

20. Children's Privacy

Pocket Accountant is intended for adults and business users.

The Service is not directed to individuals under 18 years of age, and we do not knowingly collect personal information from individuals under 18.

If appropriate, we will take reasonable steps to delete the information.

21. Third-Party Services and Links

Pocket Accountant may integrate with or contain links to third-party services, including financial institutions, Plaid, payment processors, app stores, authentication providers, and AI service providers.

Third-party services operate under their own privacy policies and terms.

Pocket Accountant is not responsible for the independent privacy practices of third-party services. We encourage you to review their privacy policies before providing information to them.

22. Changes to This Privacy Policy

We may update this Privacy Policy as Pocket Accountant changes, new features are introduced, service providers change, privacy laws change, or our information practices change.

When we update this Privacy Policy, we will revise the "Last Updated" date at the top.

If a change is material, we may provide additional notice when appropriate or legally required, such as through email, an in-app notification, or a website notice.

Your continued use of Pocket Accountant after an updated policy becomes effective is subject to applicable law and the updated policy.

23. Governing Law

Except where applicable consumer or privacy law provides otherwise, this Privacy Policy and related privacy matters are governed by the laws of the State of Florida , without regard to its conflict-of-laws principles.

Nothing in this section limits privacy or consumer rights that cannot legally be waived under applicable law.
